Free Notion waitlist template with a signup workflow

A waitlist is only useful if you know who is on it and why. This template stores every signup in Notion with where they came from, what they want solved and a 1 to 5 fit score, then warms them up over four emails.

Inside the n8n workflow in the download

Webhook Notion: create page Sticky note

Every node is explained below, with the matching Notion database schema, property by property.

Email me the download

Free. One email with the files, then occasional updates. Unsubscribe any time.

  • Setup: 30 to 45 minutes
  • n8n + Notion
  • Uses standard n8n nodes that work on n8n Cloud and self-hosted.

How it works under the hood, node by node

  1. Webhook: Receives a signup from your landing page form (POST /waitlist-pulse).
  2. Notion: create page: Adds a row to the Waitlist database with email, source and segment.
  3. Sticky note: Tells you which Notion property IDs to map after you duplicate the database.

Also in the download

  • Three saved views: Inbox (new, newest first), Qualified, and This week
  • Four emails: welcome, a three-question research ask, a landing-page preview, and a 'what's next' note
  • Eight Claude prompts for hero copy, waitlist bullets, objections and the launch offer
  • Research form questions that map straight into the Pain and Score properties

Set it up

  1. Create the Waitlist database in Notion using the property table above (or duplicate it from the download).
  2. Import the workflow JSON into n8n and open the Notion node.
  3. Map each Notion property to the incoming form fields.
  4. Point your landing page form at the workflow's production webhook URL.
  5. Submit a test signup and confirm the row appears in the Inbox view.

Stuck on the import? Importing an n8n workflow and setting up the Notion database cover the common snags.

Questions

Can I use this without n8n?

Yes. The Notion database and the four emails work on their own. Paste signups in by hand or use your form tool's native Notion integration. The workflow saves you the copy-paste.

Which form tools work with the webhook?

Anything that can POST JSON to a URL: Tally, Typeform, Fillout, a plain HTML form with a small script, or your own backend.

What is the Score property for?

It ranks signups by fit so you know who to email personally before launch. The research form asks three questions and you score the answers 1 to 5.
